YORK PLACE / THE SMALL PRINT

Your privacy matters.

A straightforward explanation of what information we collect, why we need it, and how we look after it.

Last updated: 26th October 2026

At York Place, we believe your personal information deserves the same care and consideration as your photographs.

This notice explains how personal information is handled when you visit our website, contact us, book a photography session, or receive photographs from us.

01 / WHO WE ARE

A little introduction.

York Place is a documentary family photography service by Dominique and Liam Shaw, based in Yorkshire and the North East.

The organisation responsible for personal information collected through this website is:

YORK PLACE STUDIOS

You can contact us about privacy matters at:

info@yorkplacestudios.co.uk

This notice applies to www.yorkplace.co and the family photography services provided through it.

02 / THE INFORMATION

What we collect.

When you enquire, book or communicate with us, we may collect:

  • Your name and contact details.
  • Information about your family, preferred session location and dates.
  • Messages and correspondence you send us.
  • Booking, payment and invoicing information where relevant.
  • Photographs and related information produced during your session.

Our website and its service providers may also process technical information such as IP addresses, browser details and security logs.

You do not need to share unnecessary sensitive information in an enquiry. If additional information is genuinely needed to arrange a session, we will explain why.

03 / WHY WE USE IT

Keeping things simple.

We use personal information to:

  • Respond to enquiries and provide information about our services.
  • Arrange and manage photography bookings.
  • Photograph sessions, edit images and deliver galleries.
  • Process payments, maintain records and meet accounting obligations.
  • Protect the security and operation of our website and services.

Depending on the activity, our lawful basis under UK data protection law may be taking steps towards a contract, fulfilling a contract, complying with a legal obligation, or our legitimate interests in responding to enquiries, operating our business and protecting its security.

Where we rely on legitimate interests, we consider those interests against your rights and expectations. Where consent is the appropriate basis, you can withdraw it at any time.

We do not treat a photography enquiry as permission to add you to an unrelated marketing mailing list.

Providing contact details is generally optional, but without sufficient information we may be unable to respond or arrange your session. Certain details may be needed to enter into and fulfil a booking contract.

04 / PHOTOGRAPHY

About your photographs.

Photographs of identifiable people can be personal data, including photographs of children.

We process session photographs to provide the photography services you have booked, including selecting, editing, storing and delivering the finished images.

We may use professional service providers such as gallery platforms, storage services, printing providers and film-processing laboratories where needed to fulfil a booking.

Displaying photographs publicly, including on our website, portfolio or social media, is a separate use from photographing and delivering your session.

We address publicity and portfolio permissions separately as part of our booking arrangements, including appropriate consideration for children's photographs.

05 / OTHER SERVICES

Who may receive it.

We may share relevant information with service providers who help us run the website and deliver our photography, such as:

  • Website hosting and security providers.
  • Email and enquiry-management services.
  • Booking, invoicing and payment providers.
  • Secure storage and gallery services.
  • Professional printing and film-processing providers where applicable.

We share only what is reasonably needed for the particular service. We may also disclose information where required by law.

Some providers may process information outside the United Kingdom. Where relevant, we assess the applicable data-protection safeguards and international transfer arrangements. You can contact us for more information.

06 / HOW LONG

How long we keep it.

We keep personal information only for as long as is reasonably needed for the purposes described here, subject to applicable legal and contractual requirements.

Enquiry correspondence is reviewed in light of whether a booking follows and whether there is a continuing business reason to retain it.

Booking and financial records are retained for applicable accounting and legal periods.

Photographic files and galleries may have different retention periods. These depend on our delivery, backup and archiving arrangements and any commitments made in your booking agreement.

If you would like information about the retention of a particular enquiry, booking or gallery, please contact us.

07 / THIS WEBSITE

Cookies and website services.

Websites may use cookies and similar technologies to support essential functions, maintain security, understand usage or display third-party content.

This website may also display embedded content, such as videos, which can involve connections to third-party services.

We aim to provide clear information about the technologies in use and the choices available to visitors. Where consent or an opt-out mechanism is required, this must be provided in addition to this privacy notice.

External websites linked from York Place operate under their own privacy policies.

08 / YOUR CHOICES

Your information. Your rights.

Depending on the circumstances, you have rights concerning your personal information, including the rights to:

  • Request access to your information.
  • Ask us to correct inaccurate information.
  • Request deletion in certain circumstances.
  • Ask us to restrict how information is used.
  • Object to certain uses of your information, including processing based on legitimate interests.
